What are guest list statistics?
Guest list statistics cover all bookings created through the admin panel (complimentary / admin-created bookings), as distinct from bookings made by customers themselves.Guest list metrics tracked
| Metric | Description |
|---|---|
| Total invited | Total number of guest list bookings created for the event |
| Confirmed | Guest list bookings that are in Confirmed status |
| Arrived | Guest list bookings where the guest has been scanned in |
| Cancelled | Guest list bookings that were cancelled |
| Entry passes issued | Individual QR code passes generated for guest list bookings (applies to ticket-type comp bookings) |
Where to find guest list statistics
- Go to Events & Bookings in the admin panel.
- Select your event (and occurrence if recurring).
- Use the Guest List filter to show only admin-created bookings.
- The attendance counter at the top reflects the filtered view.
Why track guest list separately?
Separating guest list data from paid bookings helps you:- Measure show-up rates: How many guests you invited vs. how many actually arrived.
- Control capacity: Guest list entries count against your venue’s total capacity. Knowing how many comp bookings you’ve issued prevents overselling.
- Evaluate promoter performance: If promoters are creating guest list entries, you can measure conversion (invited → arrived) per promoter.
- Reduce no-shows: If show-up rates are low, you can adjust your guest list strategy.
Example: reading your guest list stats
Imagine you’ve hosted a Friday night with:- 50 guest list bookings created
- 38 confirmed
- 25 arrived
- 4 cancelled
- 12 bookings were created but not yet confirmed (possibly pending or declined).
- 25 out of 38 confirmed guests showed up — a 66% show-up rate.
- 25% of invitations resulted in no-shows.
