# How do I export my booking data?

> Export bookings to Excel for offline reporting, sharing with your team, or revenue analysis.

You can export booking data from the admin panel to an Excel file. This is useful for offline reporting, sharing data with your team, or analysing attendance and revenue.

## Exporting bookings

1. Go to **Events & Bookings** in the admin panel.
2. Apply any filters you want the export to reflect:
   * Select a specific event
   * Select a specific occurrence (for recurring events)
   * Filter by booking status using the status tabs
3. Click the **Export** button (usually shown as a download icon or "Export to Excel").
4. The file downloads to your computer automatically.

## What's included in the export?

The exported Excel file includes one row per booking with the following fields:

| Column            | Description                               |
| ----------------- | ----------------------------------------- |
| Booking reference | Unique booking number                     |
| Customer name     | Name provided at booking                  |
| Email             | Customer email address                    |
| Phone             | Customer phone number (if provided)       |
| Event             | Event name                                |
| Occurrence        | Date of occurrence (for recurring events) |
| Booking type      | Ticket or Reservation                     |
| Items             | Booking tier name and quantities          |
| Total paid        | Amount collected                          |
| Status            | Current booking status                    |
| Booked on         | Date and time the booking was created     |
| Arrived           | Whether the guest was scanned in (Yes/No) |
| Notes             | Any internal notes added to the booking   |

## Filtering before exporting

The export reflects your current filter selection. To get the data you need:

| Export goal                        | What to filter first                      |
| ---------------------------------- | ----------------------------------------- |
| All bookings for one event         | Select the event in the event dropdown    |
| All confirmed bookings for tonight | Select event + occurrence + Confirmed tab |
| Guest list only                    | Select event + Guest List filter          |
| All-time data for all events       | Leave all filters clear                   |

## Can I export entry pass / QR code data?

The standard export includes booking-level data. Individual entry pass details (QR code references, arrival status per pass) are included as part of the booking row. If you need more granular pass-level data, contact support at [support@thexo.app](mailto:support@thexo.app).

## How often is the data updated?

The export is a snapshot of the current data at the moment you click Export. For live events, re-export periodically to get the latest arrival and booking status information.
