# How do I track event attendance?

> Monitor real-time bookings made vs. guests arrived with live attendance counters.

XO provides real-time attendance metrics for all your events. You can monitor how many people have booked and how many have physically arrived at the venue as the night progresses.

## Attendance overview in the admin panel

The **Events & Bookings** screen shows a live attendance counter at the top whenever you have an event selected:

| Metric               | What it counts                                                                          |
| -------------------- | --------------------------------------------------------------------------------------- |
| **Bookings made**    | Total number of confirmed bookings (CONFIRMED status) for the selected event/occurrence |
| **Bookings arrived** | Number of bookings where at least one entry pass has been scanned (ARRIVED status)      |

This counter updates in real time — as your door team scans guests, the arrived count goes up immediately.

## Viewing attendance for a specific occurrence

For recurring events:

1. Go to **Events & Bookings**.
2. Select your event.
3. Use the **Occurrence** dropdown to select a specific date.
4. The attendance counter and booking list now reflect that occurrence only.

## Detailed attendance metrics per event

XO tracks the following attendance data points for each event:

**Reservations attendance:**

* **Total reservations** — Number of confirmed reservation bookings
* **Reservations arrived** — Number of reservation bookings where the party has arrived

**Ticket attendance (entry passes):**

* **Total entry passes issued** — Number of individual QR code passes generated (one per ticket in CONFIRMED bookings)
* **Entry passes arrived** — Number of passes that have been scanned at the door

These metrics help you understand:

* How full your venue will be (total vs. capacity)
* How many of your confirmed bookings actually turned up (arrival rate)

## Where to find detailed event statistics

For an in-depth view:

1. In the admin panel, go to **Events**.
2. Open the specific event.
3. Look for the **Statistics** or **Attendance** section.
4. You'll see the full breakdown by booking type, status, and occurrence.

## Monitoring attendance on event day

On the night of your event, keep the **Events & Bookings** screen open on a tablet or phone at the door. The attendance counter is always visible at the top and updates live — giving you instant visibility of capacity utilisation without needing to manually count.

## Can I see which customers arrived vs. didn't show?

Yes. In the **Events & Bookings** screen:

1. Select your event and occurrence.
2. Click the **Confirmed** tab to see all confirmed bookings.
3. Bookings that have been scanned in appear with an **Arrived** badge.
4. Those without the badge are confirmed but haven't arrived yet.
